Email signature examples and templates that look professional
What to include in a professional email signature, what to leave out, and examples for founders, marketers, freelancers and students you can copy.
Your email signature is the business card people see in every single email you send. Most are either bare ("Sent from my iPhone") or overloaded with six logos, a quote and a legal essay. The good ones sit in between: clear, scannable and useful.
Below are the elements every signature needs, the ones to skip, and examples for different roles you can adapt in a couple of minutes.
What a professional email signature includes
Keep to what helps someone reach you or understand who you are:
- Full name. The one people know you by.
- Job title and company. One line: "Head of Growth · Bakery Co".
- One or two ways to reach you. Phone and website are usually enough, since they already have your email.
- A photo or logo. Optional, but a friendly photo makes cold emails feel warmer. Use a logo for shared or team addresses.
- Social links. Only the ones you actually use for work, usually one to three.
- One call to action. "Book a call", "See our latest work", "Read the case study". One, not five.
What to leave out
- Your email address. They're replying to it.
- Inspirational quotes. They age badly and distract from your name.
- Huge images. Anything over about 1 MB loads slowly and can push emails toward spam.
- Every social network you've ever joined. Pick the ones that support your work.
- Long legal disclaimers, unless your industry requires them. If it does, keep them small and at the very bottom.

How to build your signature in two minutes
- Open the free email signature generator and fill in your details. A live preview shows the result inside a real-looking email.
- Add a photo or logo. Upload it or paste a link. A square image works best.
- Add your social links. Icons are drawn in your accent colour.
- Optional: add a button and an animated banner.
- Pick a template (Classic, Stacked or Minimal), a font and an accent colour.
- Click "Copy signature" and paste it into Gmail, Outlook or Apple Mail. Step-by-step instructions for each are right below the preview, and in how to add an email signature in Gmail and Outlook.
Signatures are built with simple tables and inline styles, the only formatting that email apps reliably keep, so they look the same in your recipient's inbox as in the preview.
Frequently asked questions
What should a professional email signature include?
Your full name, job title and company, one or two contact details such as phone and website, and optionally a photo, a few social links and one call to action.
Should I put a photo in my email signature?
A photo helps in sales, recruiting and any role where people email you for the first time. Use a clear, friendly headshot, kept small. For shared or support inboxes, use a logo instead.
How long should an email signature be?
Aim for three to five short lines plus icons. If it's taller than the email itself, it's too long.
Is it free to make an email signature with mktbox?
Yes. The generator is free, needs no account, and the finished signature works in Gmail, Outlook and Apple Mail.
